About the Role:

What You'll Do:

  • Calendar and Schedule Management:
    • Proactively manage and prioritize the CEO's calendar, ensuring alignment with organizational priorities.
    • Anticipate and address scheduling conflicts, adjusting plans as necessary to accommodate shifting priorities.
  • Executive Support:
    • Prepare the CEO for upcoming events and engagements, providing briefings and necessary documentation in advance.
    • Act as a liaison between the CEO and other executives, handling communications and requests on the CEO's behalf.
  • Meeting Coordination:
    • Organize and manage weekly executive meetings, including scheduling, agenda creation, and follow-up actions.
    • Support board meetings and other high-level gatherings, ensuring seamless execution and providing any necessary documentation.
  • 1:1 Meetings and Offsites:
    • Schedule and coordinate 1:1 meetings between the CEO and direct reports, optimizing time for effective communication.
    • Organize and manage offsite meetings for the Executive team, handling logistics and ensuring a productive environment.
  • Minutes and Documentation:
    • Take accurate and comprehensive minutes during meetings, summarizing key discussions, decisions, and action items.
    • Maintain an organized system for storing and retrieving important documents and meeting notes.
  • Communication and Advocacy:
    • Act as a gatekeeper, managing communication flow to and from the CEO and exercising discretion when needed.
    • Advocate for the CEO's priorities and preferences, pushing back on executives when necessary to protect the CEO's time.
  • Travel Management:
    • Coordinate and manage the CEO's travel arrangements, including itinerary planning, accommodation, and logistical support.

What You'll Bring:

  • 10+ years of experience in executive leadership support.
  • 5+ years of direct experience supporting a CEO.
  • Proven ability to proactively manage complex calendars and schedules.
  • Exceptional organizational and multitasking skills.
  • Flexibility to adapt to changing priorities and unexpected challenges.
  • Strong written and verbal communication skills.
  • Strong ability to liaise with key senior-level executives.
  • Proficiency in Microsoft Office Suite and calendar management tools.
  • Ability to thrive in a fast-paced and dynamic work environment.
  • Can-do, positive attitude and willing to "go the extra mile".
