Human Resources Assistant

Your role in caring for our company:

Human Resources Support:

  • Maintain accurate and up-to-date employee records, including personnel files, benefits, and compliance documentation.
  • Assist in the recruitment process, including job postings, applicant screening, interview coordination, and reference checks.
  • Coordinate onboarding procedures for new hires, including orientation scheduling and paperwork completion.
  • Support training and development initiatives, including scheduling sessions and tracking participation.
  • Ensure compliance with federal, state, and company policies, updating records and processes as needed.
  • Respond to employee inquiries regarding HR policies, procedures, and benefits in a timely manner.

Administrative Support to C-Suite & Support Center Management:

  • Provide administrative support to C-suite executives and the Support Center management team.
  • Manage and coordinate calendars, schedule meetings with internal teams and external stakeholders, and ensure efficient time management.
  • Prepare and distribute reports, presentations and meeting materials.
  • Draft, proofread, and manage correspondence, including emails, memos, and official documents.
  • Organize and maintain files, records, and government paperwork for all entities in Maryland and Washington, D.C.
  • Plan and support company-wide gatherings and other events as needed.
  • Execute and monitor DocuSign contracts, ensuring timely completion and tracking signatures across involved parties.
  • Maintain compliance records.

General Office Support:

  • Assist with office organization and operations, ensuring a professional and efficient work environment.
  • Manage office supply inventory and order as needed.
  • Support the preparation of internal communication.
  • Organize and distribute mail.
  • Participate in company-wide initiatives and projects as assigned.

All other duties as necessary.

Qualifications we ask you to have:

  • For legal reasons, all employees need to be at least 21 years of age.
  • You will be asked to pass a Federal and State criminal history background check.
  • We ask that you have a Associate's degree in Human Resources, Business Administration or Communications (Bachelor's Degree Preferred).
  • We ask that you have a minimum of four (4) years of experience in administrative roles, HR support, or executive assistance, preferably in a fast-paced environment.
  • We ask that you have a minimum of two (2) years of experience supporting C-suite executives or senior leadership teams is highly desirable.
  • We ask that you are technology savvy, extensive experience in MS Office is required.

Additional skills which will help you excel in your role:

  • Familiarity with HR processes, including recruitment, onboarding, and compliance.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills, including the ability to draft professional correspondence and proofread documents.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HRIS systems; experience with DocuSign and scheduling tools is a plus.
  • Detail-oriented, with a high degree of accuracy in managing records, contracts, and reports.
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
  • A collaborative mindset, with excellent interpersonal skills to liaise effectively with diverse teams and external stakeholders.
  • High level of discretion and professionalism when handling sensitive information and confidential matters.
  • Adaptability and flexibility to handle changing priorities and a dynamic work environment.
  • Proactive approach to identifying and addressing administrative and operational needs.
  • Positive attitude and a strong commitment to fostering a collaborative and efficient workplace.
  • Ability to travel locally for company events or meetings as needed.
  • Ability to foster collaboration, be a team player, though also independent and self-motivated.
  • Coachable and can take full ownership of personal development, regularly soliciting feedback from teammates including those supervising, colleagues, and supervisor/s.
  • Strong work ethic, integrity and desire to be accountable, transparent and proactive.

Work Schedule/Location:

Please make sure you are willing and able to perform the following:

  • While performing the duties of this position, you will be regularly asked to talk or hear.
  • You will frequently use your hands or fingers to handle or feel objects, tools, or controls.
  • Occasionally, you will need to stand/walk/sit and reach with hands and arms.
  • You will be asked to occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus.
  • The noise level in the work environment is usually low to moderate.
